I think StoneSpot is a great program that gives companies the tools that help them to excel with their production processes. I am a reports guy and if more people understood how powerful the reports section is, it would make their lives so much easier. One of my favorite features is the accountability section. Being able to have a full record of all happenings within an order from start to finish is priceless.

I also love the production buckets and how they make the workflow for each order so seamless.

Knowing the average time an order sits in a bucket is helpful to gauge why a process is taking so long. It keeps our team accountable and on top of our responsibilities.

Once we decided to take the leap of faith into StoneSpot, we were able to integrate each location one by one and get rid of our Excel spreadsheet tracking system that held back our ability to grow and build our business. We highly recommend StoneSpot. The QuickBooks Online integration is such a time saver. If you have QuickBooks Desktop, we recommend transferring to QBO for at least 6 months to get accustomed to the program and then the integration to StoneSpot will be simple and seamless and your accountant will be much happier!

Before StoneSpot, we were doing everything by Excel spreadsheets and going from all paper copies to digital was nerve racking at first. Now everything is so much faster and easier. The ability to search any order at any time is a game changer. When someone calls they can have an update for them within seconds. Being able to document everything within an order is priceless.

Our tip for implementing with StoneSpot is don’t dilly dally on it. Transfer everything over all at once. Make sure you have all of your cemetery info at your fingertips. Get everything in front you and then start doing it.

It does seem daunting when you start it, but you have to do it all in, not half one way and half the other.

Get your wholesale clients logged into StoneSpot. At first they might be a little anxious, but once they start using it, they won’t know what to do without it.

StoneSpot is a very modern version of a management program that will do as much as you want it to do. You may not do everything at the beginning but if you keep moving forward I believe little by little you’re going to like all that it can do for you — if you’re willing to adjust. The map feature has been huge for us. I especially love that I can get information wherever I need it from my cell phone! I would recommend starting it at a time of year when your workload is low and you have time to make changes.

No more hunting through piles of paper or walking the plant asking questions. I have to tell you, the payment system is fantastic. When I used to send QuickBooks invoices, hardly anyone paid online — they’d either ignore it or call in with a card. Yesterday at 11 I sent 9 bills through StoneSpot, and by the afternoon 7 were already paid. Another customer called to say they’ll be coming in, so that’s basically 8 out of 9. That’s night and day compared to what I was used to.

If you don’t already, you should really advertise how easy it makes collecting payments. It’s not just convenience — it’s cash flow. I usually ask for a second payment when a family approves their blueprint. With my old setup, maybe 65% of people would send it. That meant I was often paying my supplier before I had enough money in. Now the money comes in faster, and it makes a huge difference.

I can’t believe I have no more papers in my office. You can move to a smaller office because of StoneSpot!! Another positive!

Using StoneSpot and the connection to QuickBooks has streamlined our invoice entry by not having to double enter. In our previous programs we entered costs twice: once in our database and then into QuickBooks. Not only is invoicing easier, when we receive granite it automatically syncs the bill with QB. Since we sell mostly custom pieces, it shows the order name and number in Quickbooks for easy reference, not relying on hand entries being incorrect or left off. Such a time saver!

Having the StoneSpot/Quickbooks integration has also been very helpful with our sales team. They can get copies of an invoice, see balances, see and add deposits/payments without needing any access to Quickbooks. And I am confident they have the correct and most up to date information.

Missy and her team are always willing to help figure out issues. Whether they are StoneSpot/QuickBooks questions or just me not understanding how something works together. They have always walked me though and explained in clear instructions.

We love StoneSpot! I always tell people how amazing it is! I love it all but my favorite feature of StoneSpot is probably the To-Do’s section. I love being able to create a To-Do for a team member right from the Dashboard. It’s so quick and easy and a great way to communicate and assign tasks. I also love the Happenings section where I can talk back and forth with people and have all correspondence kept within each order. I love that we were able to adapt StoneSpot to match our specific needs including being able to cater to the needs of our production crew.

Bucket Deadlines are so helpful for us to see when an order is stalled in a certain bucket or process, so we can address it and make sure it continues through production in a timely manner.
